Information I collect about you
At Head to Toe Holistic I collect information about you when you use our contact form to get in touch with us, make a booking, join my mailing list or comment on my news posts and stories.
For users that register on my Website (if any), I store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
I will use the information provided to contact you if your enquiry or comment requires a reply, or to send you information via my mailing list. I will not share your information with anyone else unless required to do so by law.
You have the right to request a copy of the information that I hold about you. If you would like a copy of some or all of your personal information, please contact us. Photographic ID will be required before your request can be fulfilled. I will provide the information within 60 days in PDF format.
I want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate. This request will be actioned within 60 Days.
You will not be ordinarily asked to upload images to the Website. However, if you do you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the Website may be able to download and extract any location data from images on the Website.
Sometimes I will take pictures at classes and of treatment set ups to be used for Website content. Before I do, I will ensure that clients are aware of the photography and its use. Clients will have the option to opt out of any photography. Treatment set up photography will not include clients.
Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This Website uses Google Analytics which tracks visitor behaviour via cookies and compiles statistical reports on Website activity.
Visitor comments may be checked through an automated spam detection service.
My Website is hosted by a third party. I do not share any personal data with the host.
Booking and Cancellation
Bookings must be made for all treatments and due to limited availability, spaces booked for classes.
You can book classes up to three sessions at a time, (six for PureGym Members). This is so that you can plan and schedule your time. However, please make sure that you cancel any sessions you cannot attend.
All bookings made are provisional until the booking fee has been collected and you have received a confirmation email.
When you book with me you are booking a fully qualified and trained therapist and instructor. Like yours my time is valuable, this policy has been developed with that in mind to support us both. I know that sometimes things don’t always go to plan so please contact me as soon as possible if you no longer require your scheduled appointment or slot at one of my classes.
I ask that you give no less than 48 hours’ notice if you wish to cancel or reschedule any class or appointment you book. This will enable me to offer that appointment to another client and fill that appointment, protecting my income.
If you need to give less than 48 hours’ notice on any booking you have made, I reserve the right to retain your booking fee. The Booking fee will be a minimum 50% of the scheduled appointment charge.
If you wish to shorten your appointment please let me know so that I can reduce the length of your booking. Failing to do so will result in you being charged for the full treatment you originally booked. You can choose whether you have the full or shortened treatment.
A booking fee of 50% will be taken via telephone or online prior to your booking is confirmed. Please do not attend a provisional booking.
This booking fee will not be returned to you if you fail to cancel your appointment with less than 48 hours notice.
My Working days are Tuesday to Friday however you can contact me via telephone, email or contact form any-time and I will get back to you.
All my classes and treatments are in line with the latest government advice, guidance and restrictions for Covid-19. I also adhere to the advice and guidance of my councils and associations and EMD UK (the national governing body for group exercise).
All my classes are subject to risk assessments which are in accordance with and have been signed off by third party-owned or managed facilities I use to teach. Each facility I use has their own risk assessment. I have reviewed these and am satisfied that it is comprehensive and means it is safe for me to teach and for my clients.
Social distancing should be adhered to at all times within my classes. Government guideline is that social distancing is 2metres. Usable net space within facilities must be 100sq ft per person; including changing areas and toilets. This means that class space is limited.
Please ensure that you arrive on time for class and avoid congregating outside the hall. Social distancing should be adhered to at all times. Where possible and where required by the teaching facility risk assessment a one way people flow systems will be in situ to reduce congregation in any area of the facility. Where possible, separate entry and exit points should be provided.
Social distancing during your treatment is not possible, however I will adhere to all guidelines when providing these services to ensure the safety of my clients.
Students are required to bring all their own equipment to classes. I am not able to loan any equipment. Equipment should not be shared between class members.
All equipment required for treatments will be provided, retained and sanitised by me.
Rigorous and frequent cleaning and hygiene procedures will be followed. All my equipment is thoroughly sanitised between treatments.
All my sessions allow for set-up and close down time which includes cleaning and sanitisation.
Staff & Customer Wellbeing
I am committed to the wellbeing all my customers. If you have any COVID-19 symptoms you should not attend your appointment or class and should cancel as soon as you show symptoms. In accordance with my booking policy I reserve the right to retain your booking fee if notice of cancellation is received within 48 hours.
If anyone in your household develops symptoms of COVID-19 then you should report the infection to the NHS Test and Trace system following use of the facility to limit the spread of the virus.
If you attend class or a treatment and show/have any signs of Covid-19 (temperature, cough, difficulty breathing), I will ask you to go home to follow Government regulations.
I will cancel any class or treatments if I or any of my direct family members show/have any signs of Covid-19 and ensure that we follow government guidelines.
I am required to keep contact details of all class participants or those who attend for treatments for 21 days (within GDPR regulations) in case it becomes needed for NHS test and trace.
